Role: Clinic Administrator Assignment: METCARE Location: Ormond Beach, Florida
Under the supervision of Regional Manager, the Office Manager oversees and manages the location’s functional/non-clinical operations in a manner which conforms with standards established by the National Committee for Quality Assurance’s (NCQA) Patient Centered Medical Home (PCMH), thereby providing each patient/customer high levels of quality, efficiency, accuracy and professionalism in service. To do so, the Office Manager ensures that: • Each staff member is competent, appropriately placed and has readily available the supplies and equipment necessary for optimum work performance; • Staffing levels are adequate/appropriate to service volume; • The activities of each staff member are guided by and conform to all applicable operating and employment-related standards, policies, procedures and practices; and • All persons working in/visiting the site enjoy an environment which is safe and secure.
The Office Manager implements, interprets and enforces established policies and practices; readily identifies those situations for which guidance is necessary, and, based on work-flow and other related factors, recommends refinements/changes in established policies/procedures. Additionally, the Office Manager provides to the non-clinical staff regular in-service training related to NCQA/PCMH standards, METCARE’s customer service initiatives/objectives and other quality- and competency-based topics. The Office Manager maintains communication with the Market’s Office Administrator and, when necessary, seeks from the Office Administrator/Market Manager technical and practical advice. Further, the Office Manager willingly provides technical guidance and assistance to subordinate staff, undertakes special assignments specific to customer/patient-service initiatives and METCARE’s corporate goals, and performs other duties as assigned.

Required Knowledge and Skills: Possess a general understanding of the standards and practices associated with the delivery of managed care with a hands-on and in-depth knowledge of facility operations; As directed, attend regular operational meetings and participate actively in these as a valuable contributor; Know or show the ability to learn quickly the generally-accepted standards of the healthcare sector and practices applicable to the scope of this job’s responsibilities; Be highly motivated to make valued contributions which effectively support METCARE’s mission, values and the achievement of its quality standards and overall customer-service and business objectives and goals; Interact diplomatically and effectively, both orally and in writing, with all internal staff and external parties; Display strong communication and interpersonal skills which induce positive attitudes and support for work objectives;
Demonstrate functional competency in using the applications contained in the Microsoft Office Suite as well as applications such as EcW, Datalink, Availity, and other similar programs particular to this role; Be able to identify problems quickly and accurately, to investigate thoroughly all relevant data to establish facts and, based on experiences gained in similar situations, to propose to the appropriate Leadership recommended steps to resolve the problem; Conduct and/or recommend appropriate training specific to each staff member’s needs in order to ensure a high level of confidence and performance of their job responsibilities; Maintain the highest level of confidentiality at all times concerning customer, patient, employee and METCARE’s proprietary information.
Role Requirements: * Associates’ Degree in Business Administration or similar appropriate field and/or work experience required.
Must have minimum 2 years’ experience as a Medical Office Manager
Must have minimum 2 years’ experience in managed care
Must have minimum 2 years’ experience in face to face customer service
Strong knowledge of Microsoft Office XP products (Word, Excel, Access)
Knowledge and experience in advanced excel
One year experience dealing with patients in conflict resolution
Comfortable multitasking with patients and coworkers
